Booking, Event & Studio Policies
Welcome to Canvas & Company. Our goal is to provide a welcoming, organized, creative, and professional environment where people can create, gather, meet, celebrate, and connect.
These policies help us prepare the studio appropriately, coordinate expectations with hosts and organizations, and provide a consistent experience for everyone using the space.
Specific terms included in your proposal, invoice, promotional offer, or booking agreement take precedence when they differ from these general policies.
1. RESERVATIONS, PAYMENTS & REFUNDS
1.1 Securing Your Reservation
Submitting an inquiry does not reserve or hold a date.
Once availability and event details are confirmed, a 20% non-refundable deposit is required to secure your reservation. Your date and time are considered confirmed once the required deposit has been received.
Because studio time is reserved specifically for your event, availability cannot be guaranteed until the reservation is confirmed.
1.2 Final Payment
The remaining balance is due 3 calendar days before your scheduled event.
Reservations made within 3 days of the event date require payment in full at the time of booking.
Approved additions or changes made after final payment—such as additional guests, additional event time, setup time, expanded food service, additional rooms, equipment, or other services—may be invoiced separately and are due before the event unless another arrangement is confirmed in writing.
1.3 Early Payment
You are welcome to pay your reservation in full before the final-payment deadline.
Paying early does not make the entire reservation immediately non-refundable. Refund eligibility is based on the date of cancellation rather than the date on which you chose to pay.
1.4 Cancellations & Refunds
The initial 20% reservation deposit is non-refundable once your reservation has been confirmed because your date and studio time are removed from availability for other customers.
For cancellations made more than 3 calendar days before the scheduled event, amounts paid directly to Canvas & Company beyond the 20% non-refundable deposit are eligible for refund.
For cancellations made 3 calendar days or less before the scheduled event, payments are non-refundable. At this stage, staffing, scheduling, materials, preparation, and other resources may already have been committed to your reservation.
Same-day cancellations and no-shows are non-refundable.
Third-party processing, ticketing, platform, or other non-recoverable fees may not be refundable.
1.5 Rescheduling
We understand that plans can change. Rescheduling requests are considered based on the amount of notice provided, the circumstances, and studio availability.
When a reschedule can be accommodated, eligible payments already received may be transferred to the new date rather than refunded.
Changes in date, guest count, services, experience, staffing, materials, or other requirements may result in revised pricing.
1.6 No-Shows, Late Arrivals & Unused Services
No-shows, lower-than-expected attendance, late arrivals, or a host's decision not to use reserved rooms, time, materials, equipment, or services do not qualify for refunds.
1.7 Cancellation by Canvas & Company
If Canvas & Company needs to cancel a reservation and cannot provide a reasonable alternative date or comparable arrangement, payments made directly to Canvas & Company for the affected reservation will be refunded.
1.8 Third-Party Purchases
Tickets, vouchers, promotional offers, or reservations purchased through third-party platforms may also be subject to the cancellation, refund, redemption, and rescheduling policies of the platform through which they were purchased.
2. GUEST COUNT, PRICING & ATTENDANCE
2.1 Private Experience Pricing
Private experience pricing is based on the anticipated number of guests:
Up to 15 Guests — $700
16–20 Guests — $1,100
21–25 Guests — $1,375
Additional Guests — $55 per person, where the selected experience and studio configuration allow
Please provide your best anticipated guest count when requesting your reservation.
2.2 Changes in Guest Count
Please let us know as early as possible if your attendance changes.
Guest-count changes may affect pricing, materials, staffing, seating, room configuration, food service, and practical capacity.
Reductions in attendance after final payment do not automatically result in a refund or reduction in the contracted event price.
Additional guests are subject to applicable guest charges and studio capacity.
2.3 Attendance at Public Experiences
Some experiences, promotions, and programs may have minimum booking or attendance requirements based on staffing, materials, setup, or experience format. Any applicable requirement will be communicated when relevant.
There is otherwise no general requirement that the studio be full for a scheduled experience to take place.
A scheduled experience may occasionally proceed with a small group or even a single guest.
When purchasing an individual reservation or ticket, you are reserving the advertised experience rather than a guaranteed crowd size or number of other participants.
3. STUDIO CAPACITY & ROOM USE
3.1 Practical Capacity
Canvas & Company is intentionally designed as an intimate, flexible creative studio rather than a large event venue.
Capacity depends on the experience, furniture arrangement, food service, equipment, activities, room configuration, and other event requirements.
Maximum physical occupancy does not necessarily represent the maximum practical capacity for every event format.
3.2 Main Studio
The Main Studio is designed to accommodate approximately 25 guests seated with tables and chairs, including appropriate space for the facilitator or event lead.
Practical capacity may be lower when an event requires additional equipment, food service, displays, activity space, specialized furniture arrangements, or other operational requirements.
3.3 Meeting Room
The Meeting Room is designed to accommodate approximately 12 guests seated with tables and chairs, including space for a facilitator.
It is appropriate for meetings, workshops, training sessions, small-group activities, discussions, and similar gatherings.
3.4 Private Office
The private office is an operational workspace and is not available for rental or general guest use.
Access is reserved for Canvas & Company staff and other authorized personnel.
3.5 Reserved Rooms
Your reservation provides access to the specific room or rooms identified in your booking.
Other rooms do not become part of your reservation simply because they are unoccupied at a particular time.
For example, an unused Meeting Room is not automatically available as a break room, breakout room, food-service area, storage area, changing room, private workspace, or overflow area for an event booked in the Main Studio.
Likewise, the Main Studio is not automatically available as overflow or breakout space for a Meeting Room reservation.
3.6 Lobby, Kitchen & Common Areas
The lobby, kitchen, hallways, and other common areas support normal studio operations and circulation. They are not automatically included as dedicated or exclusively rented event space.
Normal incidental use may be available where appropriate.
If your plans require a common area for catering, registration, check-in, displays, vendor staging, photography, storage, food service, or another dedicated purpose, please discuss the requirement with us during planning.
Additional space, setup, or service fees may apply.
3.7 Multiple Rooms & Breakout Space
If your event or meeting requires both the Main Studio and Meeting Room, breakout space, dedicated food-service space, private discussion areas, or another special configuration, please identify those needs during the inquiry process.
We can determine the appropriate configuration, availability, and any additional room or setup charges before your event.
4. CLEANING, PREPARATION & STUDIO CARE
4.1 Cleaning, Prep & Studio Care Fee — $125
A $125 Cleaning, Prep & Studio Care Fee applies to private bookings and studio rentals.
This fee supports standard preparation of the reserved event space before your arrival, routine post-event cleaning, and resetting the studio for normal operations and subsequent experiences.
4.2 What the Fee Does Not Include
The Cleaning, Prep & Studio Care Fee does not include:
Personal decorating time
Early access
Additional room use
Expanded food-service setup
Excessive cleaning
Damage
Repair or restoration beyond normal event use
Creative experiences and celebrations naturally create some cleanup. Additional charges are intended for circumstances beyond reasonable event use rather than ordinary cleanup.
5. EVENT TIME, ARRIVAL & SETUP
5.1 Event Start Time
Your reserved start time is when your event begins and when the studio is prepared to welcome your guests.
We recommend using your actual reserved start time on invitations, flyers, Eventbrite listings, social media posts, and other event materials.
5.2 Early Guest Arrival
Please avoid advertising an earlier guest arrival time unless early access has been included with your reservation.
Our team may be preparing the studio, resetting from another experience, arranging materials, configuring technology, or completing other preparations before your scheduled start.
Using the actual event time helps ensure your guests arrive to a finished and welcoming environment.
5.3 Early Access & Personal Setup
If you would like access before your event to decorate, arrange food, meet vendors, organize materials, prepare registration, or complete other personal setup, additional studio time can be reserved in advance.
Early access is subject to availability and applicable additional-time charges.
5.4 Decorating
Decorations are welcome when they can be installed and removed without damaging walls, furniture, artwork, equipment, fixtures, or other studio property.
Please discuss elaborate installations, specialty equipment, large decorations, confetti, glitter, adhesives, open flames, or similar items with us before the event.
5.5 Additional Event Time — $90 Per Hour
Additional studio time is available at $90 per hour, subject to availability.
Additional time may be used for setup, the event itself, socializing afterward, or breakdown.
Because other experiences or operational activities may be scheduled before or after your reservation, extending an event beyond its confirmed end time may not always be possible.
6. BOOKING FORMAT & CREATIVE DIRECTION
Canvas & Company offers several booking formats. The level of customization and creative control varies depending on the type of reservation selected.
6.1 Group Bookings
A group booking reserves spaces for your group within a Canvas & Company-produced experience.
The experience remains part of Canvas & Company's programming and follows our planned format, facilitation, music, pacing, activities, and overall creative direction.
We are happy to acknowledge celebrations and accommodate reasonable requests when possible. However, a group booking does not convert a scheduled Canvas & Company experience into a privately produced event or transfer creative direction of the experience to the group.
6.2 Private Bookings
Private bookings provide greater flexibility and personalization because the reserved experience is dedicated to your group.
Hosts may collaborate with us on elements such as the selected activity, theme, atmosphere, music genre, pacing, and other reasonable preferences.
Canvas & Company continues to facilitate and operate the experience. Final decisions concerning studio operations, safety, timing, facilitation, equipment, and delivery of Canvas & Company experiences remain with the studio.
6.3 Studio Rentals & Independently Produced Events
Studio Rental is designed for hosts seeking greater control over their own approved programming.
Examples may include:
Meetings
Workshops
Training sessions
Networking events
Meet-and-greets
Discussions or panels
Organization gatherings
Classes
Private social events
Approved ticketed events
The organizer is responsible for programming, facilitation, ticketing, guest communications, materials, attendee management, and other production requirements unless additional Canvas & Company services have been arranged.
Rental of the studio does not imply that an independently produced event is produced, sponsored, or operated by Canvas & Company.
7. MUSIC & STUDIO ATMOSPHERE
Music is part of the Canvas & Company experience, and we provide curated playlists designed to complement the atmosphere of the event.
Hosts may share preferred genres, eras, artists, or general musical direction. Examples may include R&B, neo-soul, jazz, gospel, Afrobeats, hip-hop, Motown, 80s/90s, contemporary pop, or similar styles.
Our music service is not a DJ service, and Canvas & Company does not operate its music programming as a nightclub or jukebox.
We generally do not accommodate continuous individual song requests, repeated song changes, guest-controlled music switching, or requests for our team to manage music as a live DJ would.
We curate music around genre, audience, and overall atmosphere rather than managing a song-by-song playlist during an event.
If a DJ, custom performance, specialized playlist management, or other music production is important to your event, please discuss those requirements with us in advance.
8. CHILDREN, FAMILIES & ADULT-FOCUSED PROGRAMMING
8.1 A Family-Friendly Studio
Canvas & Company is a family-friendly creative studio, and children are welcome at experiences and private events designated as appropriate for their age group.
Our overall brand, environment, and much of our programming, however, are designed primarily with adults and working professionals in mind.
Many Canvas & Company experiences intentionally incorporate elements that encourage creativity, autonomy, social connection, conversation, reflection, and decompression from the demands of everyday life and work.
For that reason, not every experience is designed as children's programming even when children may be permitted in the studio.
8.2 Public Experiences
Age requirements vary by experience.
Some programs are appropriate for families or teens, while others are designed specifically for adults or guests 18+ or 21+. Please review the individual event description before booking.
8.3 Children Within Group Bookings
Groups attending scheduled public experiences participate within the intended format and audience of that experience.
The presence of children within a group does not convert an adult-oriented public experience into children's programming or alter the overall format for other guests.
8.4 Private Family Events
Children and family celebrations may be accommodated through eligible private bookings.
When we know children will be attending, we can help recommend an appropriate experience, materials, pacing, and setup while maintaining the overall Canvas & Company experience.
8.5 Supervision
Children remain under the supervision and responsibility of their parent, guardian, or responsible adult while in the studio.
Canvas & Company staff facilitate experiences but do not provide childcare or individual child supervision.
9. FOOD, CATERING & BYOB
9.1 Outside Food
Outside food and beverages are welcome for eligible private events.
Simple food that can be served and enjoyed within your reserved event space generally does not require additional food-service arrangements.
Examples may include:
Pizza or takeout served from its original containers
Birthday cake or cupcakes
Individual boxed meals
Packaged snacks
Small food items requiring minimal setup
9.2 Expanded Food Service Setup — $125
A $125 Food Service Setup Fee applies when an event requires additional studio space, supplies, equipment setup, or operational support for food service.
Examples may include:
A catered buffet or substantial food spread
Use of a separate room or designated food-service area
Additional serving or buffet tables
Chafing dishes or warming equipment
Multiple food stations
Significant catering staging
Use of Canvas & Company disposable plates, napkins, utensils, or related supplies
Additional breakdown associated with a dedicated food-service area
The Food Service Setup Fee is separate from the Cleaning, Prep & Studio Care Fee because it covers additional space, supplies, and operational requirements associated specifically with expanded food service.
If you're unsure whether your food plans require this service, tell us what you're planning and we can confirm the appropriate setup in advance.
9.3 Food Allergies & Dietary Needs
Hosts are responsible for communicating relevant food allergies, dietary restrictions, and food-service concerns to their guests and food providers.
9.4 BYOB & Alcohol
Canvas & Company is BYOB-friendly for eligible experiences involving guests 21 years of age or older.
Canvas & Company does not sell alcoholic beverages.
Hosts and guests are responsible for responsible consumption and compliance with applicable requirements.
Alcohol-related behavior that creates a safety concern, substantially disrupts the experience, damages property, or interferes with guests, staff, neighboring businesses, or building operations may require intervention.
10. TICKETED EVENTS & INDEPENDENT PROGRAMMING
10.1 Ticket Sales
If you plan to sell tickets or charge admission to an event you are producing, please identify this during the inquiry process.
Hosts of independently produced ticketed events are responsible for creating and managing their own ticketing platform, including:
Ticket pricing
Refunds
Attendee communications
Check-in
Guest lists
Ticket-related customer service
10.2 Event Promotion
Canvas & Company may, at its discretion, share or promote eligible booked events through our Google presence, social channels, or other platforms.
Promotion by Canvas & Company is not guaranteed and does not transfer responsibility for ticket sales, attendance, marketing, or event production to the studio.
10.3 Canvas & Company Programming
Canvas & Company develops and produces its own branded creative, educational, professional, and social programming.
Studio rentals, private bookings, group bookings, or previously hosted events do not grant ownership, control, exclusivity, or creative direction over Canvas & Company's current or future programming.
Similar themes, formats, activities, or event concepts may be independently developed, offered, or produced by Canvas & Company.
11. MEETINGS, ORGANIZATIONS & GUEST CONDUCT
11.1 Responsibility of the Booking Party
Canvas & Company provides space for meetings, workshops, training sessions, organizational events, private gatherings, and creative experiences.
The individual or organization responsible for the booking is also responsible for the conduct of its attendees, employees, team members, members, guests, vendors, and other invitees while they are on the premises.
11.2 Organizational & Team Events
For organizational meetings, corporate events, workshops, and training sessions, the booking organization is responsible for managing its participants and addressing internal employee, member, team, or guest conduct concerns.
Canvas & Company provides the venue and services identified in the reservation but does not assume responsibility for supervising an organization's employees, members, participants, or guests.
11.3 Respect for the Studio
We ask everyone using the space to treat Canvas & Company staff, other guests, neighboring businesses, furniture, artwork, technology, equipment, and the facility respectfully.
Behavior that creates a safety concern, substantially disrupts the event or studio environment, damages property, interferes with neighboring businesses or building operations, or prevents our team from reasonably providing the reserved experience may require intervention.
11.4 Intervention
When reasonably necessary, Canvas & Company may ask an individual to discontinue disruptive behavior or leave the premises.
Serious or continuing issues may result in an event being ended early when necessary to protect guests, staff, property, or building operations.
The booking party remains responsible for damage, excessive cleaning, or other costs resulting from the actions of its attendees, guests, vendors, or invitees.
12. EQUIPMENT, TECHNOLOGY & STUDIO RESOURCES
12.1 Available Resources
Canvas & Company offers technology and presentation resources that may be available for meetings, workshops, training sessions, presentations, and events.
Resources may include:
Large display monitors
Cameras
Webcams and video-conferencing equipment
PA system and microphones
Whiteboards and presentation tools
Other available studio technology and equipment
12.2 Additional Equipment Fees
Use of monitors, webcams, cameras, PA/audio equipment, and certain other studio resources may require additional fees and advance setup.
Please discuss your technology and equipment requirements during the inquiry or planning process so we can confirm availability, compatibility, setup requirements, and applicable charges.
Equipment physically located in a room should not be assumed to be included with the room reservation unless it is specifically identified as part of your booking.
12.3 Technology Preparation
Organizations and hosts are encouraged to identify presentation, conferencing, audio, display, connectivity, camera, or other technical requirements before the event.
Advance notice allows us to prepare and, where appropriate, test the requested configuration rather than making significant technology changes after an event or meeting has begun.
13. OUTSIDE VENDORS
Caterers, decorators, photographers, DJs, facilitators, and other outside vendors may be permitted depending on the nature of your event.
Please discuss outside vendors with us before confirming their services.
Vendor arrival and setup should occur within the access time included in your reservation unless additional setup time has been arranged.
The booking party is responsible for ensuring its vendors understand and follow applicable studio policies.
Use of additional rooms, common areas, equipment, storage, or staging space by a vendor should be arranged in advance and may result in additional charges.
14. MOBILE EXPERIENCES
Eligible Canvas & Company experiences may be available at your location.
A $205 Mobile Setup, Breakdown & Travel Fee applies per eligible mobile event in addition to the applicable experience pricing.
This fee supports transportation, loading and unloading, setup, breakdown, and standard travel associated with bringing the Canvas & Company experience to your location.
Additional requirements or charges may apply for locations outside our standard service area or events requiring unusual transportation, parking, access, equipment, or logistical arrangements.
15. DAMAGE, EXCESSIVE CLEANING & PERSONAL PROPERTY
15.1 Damage & Excessive Cleaning
Normal event use and routine cleanup are covered by the applicable Cleaning, Prep & Studio Care Fee.
Additional charges may apply for:
Damage to furniture, equipment, fixtures, artwork, walls, or studio property
Excessive spills or staining
Unauthorized adhesives or decorations that damage surfaces
Excessive trash or food waste beyond the planned event setup
Cleaning or restoration beyond normal event use
Damage caused by attendees, guests, vendors, or outside equipment
If an issue occurs, we will make reasonable efforts to communicate with the booking party regarding the circumstances and associated costs.
15.2 Personal Property
Hosts, organizations, guests, and vendors are responsible for personal belongings brought into the studio.
Decorations, food, equipment, gifts, personal items, and vendor materials should be removed by the conclusion of the reserved access period unless another arrangement has been approved.
Canvas & Company cannot guarantee the security or recovery of items left behind.
16. CHANGES TO YOUR EVENT
Plans change. If your guest count, event format, food plans, room requirements, setup needs, timing, technology, vendors, or other significant details change after booking, please let us know as soon as possible.
We will work with you to determine whether the requested change can be accommodated.
Changes may affect pricing, staffing, materials, room configuration, equipment, preparation, or timing.
17. QUESTIONS & SPECIAL REQUESTS
If you're planning something that does not fit neatly within these policies, tell us what you have in mind during the inquiry or planning process.
We would rather understand your needs in advance and determine what can reasonably be accommodated than have you discover a limitation on the day of your event.
Our goal is to give you appropriate room to personalize and enjoy your experience while ensuring Canvas & Company is properly prepared for you, your guests, other customers, and the experiences that follow.
